Executive Committee - President

Objectives

·To provide strong, efficient and effective leadership for the Club.
·To ensure the Club promotes the participation and achievement of the youth football teams at the highest level and that all junior members are given the highest level of coaching and competition to promote their development to youth ranks within the Club.
·Ensure the Club is run efficiently administratively, financially and socially to support the on field activities.
·To provide support to the Executive and Committee members to ensure the efficient operation of the Club.
·To provide a safe an enjoyable recreational environment for all Club members and ensure all football activities are played in a competitive and fair spirit.

 

Responsibilities

1.Ensure sub committee’s and committee members fulfil their responsibilities to the Club.
2.Preside at all meetings of the Club Committee.
3.Report activities of the portfolio to the membership at the Annual General Meeting.
4.Assist other Committee members in their duties as required.
5.Undertake tasks at the request of the President, Executive or General Committee.

 

Relationships

·Reports to the Members and General Committee of the Club.
·Acts as or ensure his/her delegate acts in the best interests of the Club at League, or Delegates Meetings.
·Supports all Managers, Committee Members and football staff.

 

Accountability

1.The President is accountable to the Members and the General Committee.
2.Provide a report on portfolio operations to the monthly Committee meeting.
3.Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action.

Executive Committee - Vice President

Objectives

·To oversee all football related matters across the Club.
·Provide leadership to all football coaches, players, support staff and volunteers.
·To provide support to the President of the Club.
·To provide support to the Executive and Committee members to ensure the efficient operation of the Club.

 

Responsibilities

1.Ensure the effective and efficient operation of the Executive and all football operations.
2.Preside over meetings in the absence of the President.
3.Ensure that all sectors of the Club football operations are managed effectively and efficiently so that on field performance is maximised.
4.Oversee the football development program so that participation at junior and youth levels is maximised.
5.Ensure that all coaches and support staff are carrying out their duties as required.
6.Oversee recruitment of coaches and players according to policies outlined by the Club Committee.
7.Assist other Committee members in their duties as required.
8.Undertake tasks at the request of the President, Executive or General Committee.

 

Relationships

·Reports to the Club President and General Committee of the Club.
·Supports all coaches, players, support staff and volunteers.
·Liaises with the Executive.
·Liaises with official Club suppliers & other key stakeholders.

 

Accountability

1.The Vice President Football is accountable to the President and the General Committee.
2.Provide a report on portfolio operations to the monthly Committee meeting.

Executive Committee - Secretary

Objectives

·To ensure that appropriate administrative support is provided to the President, General Committee and sub committee’s.
·To provide a “whole of Club” planning focus to ensure the overall efficient management of club functions.
·To manage business considered by the Club Committee.
·To provide support to the Executive and Committee members to ensure the efficient operation of the Club.

 

Responsibilities

1.Establish a planning calendar for the year.
2.Provide a coordinating and support role for Club sub committees.
3.Formulate the annual operating plan and manage its ongoing administration.
4.Provide secretarial support to the Committee.
5.Maintain an accurate copy of the Rules and By-Laws of the Club.
6.Maintain a complete record of all activities of the Club.
7.Be familiar with the rules of the Club, League, State Body, AFL and any other body that has governance to give advice to the Committee as required.
8.Prepare minutes of all committee and general meetings of the Club and distribute in accordance with the Rules of the Club.
9.Receive all correspondence directed to the Club.
10.Prepare and send correspondence in accordance with the direction of the President and Committee.
11.Report activities of the portfolio to the membership at the Annual General Meeting.
12.Prepare a comprehensive report of all activities of the Club for presentation to the membership at the Annual General Meeting.
13.Assist other Committee members in their duties as required.
14.Undertake tasks at the request of the President, Executive or General Committee.

 

Relationships

Accountability

1.The Secretary is accountable to the President and the General Committee.
2.Provide a report on any aspect of portfolio operations to the monthly Committee meeting.

Executive Committee - Treasurer

Objective

·To ensure that a financial management system and reporting system is put in place and operable so the Club committee has an accurate, true and correct understanding of the financial status of the Club at all times.
·To provide support to the Executive and Committee members to ensure the efficient operation of the Club.

 

Responsibilities

1.Prepare the annual budget of the Club for presentation at the February Committee meeting (the draft budget having earlier been formulated by the Club Executive).
2.Ensure all Managers and general committee members do not exceed authority ceilings for financial expenditure without reference to the General Committee.
3.Promptly attend to general banking activities.
4.Maintain appropriate accounts of all income and expenditure and associated audit trails, e.g. receipts.
5.Report monthly to the Club Committee on budget performance.
6.Present all accounts for payment for approval.
7.Prioritise payment of accounts.
8.Make details of all accounts available to the Club Committee and members as provided in the Corporate Affairs Act.
9.Oversee and seek reports of all other accounts held by sections of the Club.
10.Ensure any surpluses are invested wisely after approval by the Committee.
11.Ensure all taxation commitments are met by the Club.
12.Issue tax certificates to employees as required under the Act.
13.Ensure the Club finances are correctly audited.
14.Report activities of the portfolio to the membership at the Annual General Meeting.
15.Assist other Committee members in their duties as required.
16.Undertake tasks at the request of the President, Executive or General Committee.

 

Relationships

Accountability

1.The Treasurer is accountable to the President and the General Committee.
2.The Treasurer shall seek ratification from the General Committee of a Club budget, including debt reduction and there after shall have the authority to act within the limits of the budget and strategy approve.
3.The Treasurer shall provide a monthly report to the General Committee of all financial transactions.

Committee - Registrar

Objectives
To ensure all players are registered or transferred in accordance with the league rules and regulations. Responsibilities
1.Register all new players within the league guidelines
2.Register copy of injury reports
3.Process insurance claims
4.Security of all teams players B&F votes
5.Number of games played by player
6.To follow up with Team Managers and ensure players are registered and able to play.
7.Follow up with Treasurer on outstanding fees
8.Pass onto club Secretary all player contact details to ensure club database is always accurate. Relationships

Committee - Publicity Manager

Objective
•To provide support to the Executive and Committee members to ensure the efficient operation of the Club
•To maximise communication to Club stakeholders
•To promote the Club through regular publications on Facebook and TeamApp
•To promote the activities of the Club in the local media including radio, newspaper and other mediums where appropriate Responsibilities
1.Assist the all Club personnel in promoting the Club in the local and wider community
2.Undertake publicity tasks at the request of the Executive and/or Committee, or sub committees where required.
3.Manage any public comment concerning any situation or incident that may reflect on the public well being of the Club
4.Assist other Committee members in their duties as required
5.Undertake tasks at the request of the President, Executive or General Committee Relationships

Committee - Sponsorship

Objective
To maximise the number of sponsors supporting the Club and to maximise revenue from the sponsorship base.
To manage the relationship between the Club and sponsors to ensure that all sponsors are serviced to a high level and are retained on a long term basis.
To provide support to the Executive and Committee members to ensure the efficient management of Club sponsorship activities. Responsibilities
1.Develop a proposal, for ratification by the Committee, for packages to be offered by the Club to attract as broad a sponsorship as possible.
2.Co-ordinate all sponsorship for all areas of the club.
3.Meet the sponsorship budget target set as part of the annual financial planning process.
4.Ensure all existing sponsors are contacted three months prior to the season commencement
5.Seek out new sponsors to supplement existing sponsors.
6.Ensure sponsors signage is in place and all other aspects of sponsorship packages are in place prior to the commencement of the season.
7.Arrange a sponsors event at an appropriate time of the year.
8.Ensure all sponsorship agreements are honoured.
9.Maintain contact with all corporate sponsors throughout the season.
10.Maintain strong relationships with all Club sponsors. Relationships

3.Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action.
4.The Sponsorship Coordinator shall seek ratification from the General Committee of sponsorship packages offered by the Club and shall thereafter have the authority to act within the limits of the packages without reference to the General Committee.

Committee - Uniforms/Merchandise

Objective
To provide support to the Executive and Committee members to ensure the efficient management of Club clothing sales
To provide a range of reasonable priced clothing and merchandise that will provide members and supporters with suitable attire to reflect professionally on the Club Responsibilities
1.Prepare a report proposing a suitable range of clothing and merchandise for sale for consideration by the Committee at the commencement of the season
2.Arrange the wide promotion of clothing items and merchandise to members, supporters and the community
3.Provide a convenient means by which orders can be placed for all clothing lines and merchandise
4.Arrange the display of clothing lines and merchandise in the Club social rooms prior to the commencement of each season
5.Ensure sufficient clothing stocks and merchandise are maintained to ensure orders are filled promptly
6.Maintain strong relationships with approved suppliers of clothing lines and merchandise Relationships

Committee - Canteen

Objective
To provide an appropriate canteen service at all home games and at other times as agreed.
To provide support to the Executive and Committee members to ensure the efficient operation of the Club Responsibilities
1.Ensure that an adequate food safety plan is in place for canteen operations
2.Ensure that adequate equipment is available for providing the canteen services
3.Establish a menu of goods for sale that provides variety that will attract all members and visitors to purchase goods from canteen
4.Ensure goods are purchased at the best (but not necessarily the cheapest) rates possible
5.Ensure that the canteen is open for business from the commencement of the first game at home games
6.Account for all purchases and receipts
7.Assist other Committee members in their duties as required
8.Undertake tasks at the request of the President, Executive or General Committee Relationships

Committee - Social/Fundraising

Objective
To establish a broad social calendar for the season and end of season to provide a range of appropriate entertainment for all Club members and to enhance the appeal of the Club to the wider community.
To provide support to the Executive and Committee members to ensure the efficient operation of the Club Responsibilities
1.Program and organise social events for the Club.
2.Prepare a calendar of social events that will attract the widest involvement form all members of the Club prior to the commencement of the season.
3.Ensure that all social events held are at least cost neutral to the Club.
4.Organise, promote and complete fundraising events and raffles throughout the season, including securing tickets and prizes
5.Assist other Committee members in their duties as required
6.Undertake tasks at the request of the President, Executive or General Committee Relationships
Reports to the President and General Committee
Liaises with all relevant committee members and any person responsible for and or running any social event under the Club umbrella
Liaises with official Club suppliers & other key stakeholders Accountability

2.Shall seek ratification from the General Committee of the social calendar including financial arrangements and shall there after have the authority to act within the limits of that arrangement

Committee - Grounds/Equipment

Objective
To manage the Club physical facilities (buildings, grounds and ovals) to ensure a high standard of safety and presentation for matches, training, events and other activities conducted form time to time
To provide support to the Executive and Committee members to ensure the efficient operation of the Club Responsibilities
1.Assist other Committee members in their duties as required
2.Undertake tasks at the request of the President, Executive or General Committee
3.Ensure equipment shed is well stocked with all training equipment, game supplies and balls clean and in good condition
4.Ovals are the be linemarked the Friday prior all practice matches and home games
5.Ensure the following cleaning works are completed the Thursday prior to a home match and at the completion of training and after a home game: Change rooms/Club rooms/Equipment shed Sweep all floors, remove rubbish, wash out change rooms, empty bins into green bins and replace all bin liners, remove lost property and place in designated area Oval rubbish collection Pick up loose rubbish and place in large green rubbish bins from all areas of the oval and surrounding areas Relationships
