Team Managers Guidelines

Thank you for taking up the role as a team manager.  Outlined below is a guide to your main duties as a team manager.

Team Registration

All Mustang teams have now been registered with the Association prior to the commencement of the upcoming season.

Prior to each season a team list with the names, addresses and phone numbers of all your players and the coach will be forwarded to you via email.  Please check these details with each player and the coach.  If you become aware of any changes to these details please notify your Team Coordinator immediately.  Prior to the end of the season please check that details are still correct and notify your Team Coordinator of any changes.

Training Times & Training, Games Times & Fixture

Training Times & Training

The Training Coordinator will advise a weekly training time for your team.  As training venues and times are limited, preferences cannot be guaranteed.  Training time details will be forwarded by the relevant Age level Coordinator.

If a junior coach coaches your team, please ensure that there is adult supervision at all training sessions.  It is suggested that you draw up a supervision roster at the start of the season so that all the parents have a turn to supervise training sessions.  It is then the parent’s responsibility to find a replacement if they are unable to fulfil their duty at a training session.

Please read the Important Notice to Parents & Players about Training document so that you are aware of the rules that apply to training.  Please ensure that each member of the team receives a copy of this.

Fixtures

Just before the basketball season commences fixtures will be posted by Southern Basketball Association on their Website www.mentonemustangs.com.au On the home page hover your mouse under Competition Information. Move across to Fixtures and from here you can go to the Junior Boys & Girls Competition.  Select the age group and grade using the drop down box.  This will display your fixture and allow you to also view the ladder.  In the first four weeks which is the grading phase (except U/9) the games are scheduled by the Competitions Manager when the game information is received from the grading Secretaries.  This means only one week of the fixture can be displayed at a time.  Once all teams are moved into their grades for the season Fox Sports Pulse will generate the fixture.  Due to the fact that we have used a manual system for the first four weeks of grading, Fox Sports Pulse does not have the capacity to recognise the games already played when generating the fixture for the remainder of the season you may find that you are playing a team that you played in the first four rounds, this is unavoidable and nothing can be done to change the pattern allocated by the system, as attempting to fix a request from one team will only create a problem for another and this turns into a snow ball effect.  All fixtures need to be checked on game day/night because they are subject to change.  Once the grading is settled the Association will post the entire fixture list for the season and changes cannot be made.  This site enables you to keep up with what is happening around Southern Basketball.  Please ensure that you then pass this information on to all players on your team.  If there is a problem please contact your Team Coordinator.  Under no circumstances are you to deal with the association directly, all queries made directly to the association by team managers or parents will be ignored.

It is your responsibility to advise all team members and coach of the season’s fixture list.

Game Day

On game day you are responsible for the following:-

  • Electronic scoring is used. This is a Tablet Scoring System.  The system allocates games randomly and does not have a set pattern.  This means that there may be some inconsistency with game times and byes.  Southern Basketball continue to work with Fox Sports Pulse as they hope to fix it for the new season.   You need to be aware that hard copy scoresheets will apply should malfunctions occur with the Tablets. This needs to be completed with players names and numbers (Southern Basketball may have them printed) before the game is ready to start.  A penalty of 2 points is awarded to the opposition team for every minute that the game is delayed. It is also to be noted that the system does not have the capacity  to take game time requests.
     
  • Check that all of your team’s names and singlet numbers are listed correctly otherwise they may not qualify for the finals.

  • Delete any player’s name that is not playing that game.

  • Add any new player’s name and enter their details on the score sheet to confirm registration.  Note:  Failure to do so will result in a team game forfeit.

  • The Scoring System does save information for new or fill-in players.  Corrections to players, etc are to be directed to the club to update the system.

  • In the event of your team competing against another Mustangs team then the first team appearing on the score sheet must wear an alternate strip.  The alternate strip consists of bibs with a clashing colour.  These bibs belong to Mentone Mustangs and are in a plastic container marked with our club’s name and are to be collected from reception at either King Club or Mentone Girl’s Secondary College (make sure that you use only the Mentone Mustang bibs).  You will find an exercise book for you to record your team and to sign.  This helps us to locate any missing bibs.  Please note that the bib number will be different to the player’s usual number, so bare this in mind when completing the score sheet.

  • When undertaking the important role of Scoring please remember to be focused and watch the game.  Give the referee’s your full attention communicate with each other, ensure that the score sheet and the visual scoreboard are synchronized at all times.  If there is a discrepancy in the score, the score sheet (principal scorer) takes precedence over the visual board and the board should be adjusted accordingly. Change possession arrow. Be fair and accurate with the scores. Limit cheering from the score box. No mobile phones. Only scorers in the score box.  All teams are to provide a scorer for their games.

 Some handy hints:

  • Prepare a list of all the player’s names and singlet numbers; it will make it easier for you when filling in the score sheet (provide a copy of this list to the coach for information).

  • Advise your players to arrive ten minutes before the game commences, the team is penalised for every minute that the game is delayed and the game cannot start with an insufficient number of players (you need at least 4 players to take the court).

  • Request that players advise you in advance if they are unable to play.  Please refer to the penalties section later in this document.
    • It is a good idea to get an email address and/or mobile phone numbers from each of your team members and coach so that you can email/text rather than making phone calls.

Administration

New Players

If a new player approaches you about playing for our Club, please ask them to contact the appropriate Team Coordinator.  Check the Committee List that you received for their name and contact details.  It is important that you do not make any decisions or promises in regard to this.

Fees

Players will be sent an email at the start of every season reminding them pay registrations fees online through the Mentone Mustangs Website.  Team Managers may be asked to follow up with players who have overdue fees.

Sports Insurance

Compulsory Team Sports Insurance, as imposed by the VBA, is included as part of team registration.  If any player is involved in an injury during a game he/she can obtain a claim form and a Summary of Cover by downloading on www.mentonemustangs.com.au Select Information on the Home Page and go into Injuries, or go to www.basketballvictoria.com.au  The form must be filled in and signed by the Club Secretary and lodged within 12 months of injury.  Please note that no player is covered if fees are not paid by the due date.

Uniforms

Each player will be provided with a singlet.  Please check to see that each team member has a different number on his/her singlet.  At the first game please check if re-sizing of singlets is required and arrange changeover with your Uniform Coordinator.

Singlets remain the property of the club.  You are responsible for the collection of singlets from players who are leaving the club either during or at the end of the season.  You may also want to check with leaving players to see if they would like to sell their shorts 2nd hand.  If so, please get them to contact the UniformCoordinator.  Please note that your responsibility as Team Manager for the season only ends when these singlets are returned to the Uniform Coordinator. 

Shorts are purchased by the players at a cost of $50.00 from the The Locker Room Sporting Apparel at King Club.  You can arrange this for the team, but please remember to collect the money upfront or shorts will not be given out.

Scoring

Scoring is the responsibility of the Team Manager.  It is suggested that you draw up a scoring roster at the start of the season so that all the parents have a turn on the score bench.  It is then the parent’s responsibility to find a replacement if they are unable to fulfil their duty at a game.  If you need a document that explains the method for scoring to pass onto any parent who feels that they want some instruction first, please ask your Team Coordinator for a copy.

Penalties

Under the By-Laws of the Southern Basketball Association, a penalty of $130.00 is imposed on all clubs for each team that may forfeit a game.

A game will be considered a forfeit/walkover if there is an insufficient number of players available to take court.  The minimum number of players is four (4).

It is important to ensure all players understand that they are required to notify you of their intended absence well in advance (this is especially important for small teams).  If there are insufficient players it is your responsibility to notify your Team Coordinator.

The Team Coordinator will try to arrange fill-ins for that game or alternatively notify the Association that the game will need to be forfeited.  However, the $130.00 penalty can be avoided if seven days notice is given to the Association.

The Club will honour the first fine on behalf of the forfeiting team on the understanding that there is a legitimate reason.

Thereafter, teams who have had a walkover declared against them will be fined $130. The fine must be paid within seven (7) days of the walkover match or prior to the next fixtured game (whichever is sooner). If the fine remains unpaid, no premiership points shall be awarded to that team and each subsequent game will be declared a 20-0 walkover.

According to the Association’s by-laws, a player must play in seven of the fixtured games to be eligible to play in the semi and grand finals.  The Domestic Committee then use their discretion with the grades that have lower games in a season.  Please make sure that parents and players are aware of this.

Awards

All U9 players receive a medallion at Presentation in recognition of their participation during the season.  Please ensure the correct spelling of the names on your team sheet that you receive from your Team Coordinator as this is the spelling that will be engraved on the medallion.  No medallions will be replaced if there are errors because the team sheet was incorrect.  Please inform your Team Coordinator of any changes

Two individual awards are given to each of the teams from U10 to U16.  Please discuss this with your coach at the beginning of the season as we suggest that these two awards are as follows;

1)       MVP (Most Valuable Player) Voting

This is a parent’s award.  The Mustangs suggest that you set a voting roster for the parents.  A different parent votes each week for the best three players on the day (i.e. 3 points, 2 points and 1 point).  Hand this roster out at the beginning of the season along with the scoring roster. Collect the votes at the end of the game.  The votes are counted at the end of the season and the player with the most points is voted MVP.

2)       Coach’s Award

The coach awards a trophy to the player of his/her choice.

- Teams U18 to U23’s receive only one award.

Team Managers are not to disclose Award Winners to any Team Players or Parents.

The Team Coordinator will need the name/s of your award winners at the end of the last game of the season before the finals commence.

Presentation Night will be held soon after finals for all Under 9’s to Under 12’s.  A flyer will be sent to you so that you can make copies and these can then be distributed to all of your players.  Teams from Under 14’s upwards are welcomed to present their awards at Presentation, so long they inform their coordinator.

Finals

Finals will be held for teams from U9 full height upwards.

Player qualifications can be checked via the Sabres Website under Competitions, Statistics, age group, grade and players name. The games played are recorded by using the players Identification number generated for each player by the system. Players need 7 games to qualify for finals.

The Association has been known to change the Grand Finals time with only a few days notice so it is important that you check the fixtures and/or notices regularly.  Any concerns and issue in relation to qualifications need to be referred to the office by your age-group team coordinator.

Next Season

Before the season ends you will be instructed by your Team Coordinator to list the players wanting to play next season.  This will also mean updating all phone numbers and addresses.  A flyer for the Registration Procedure will be sent to you for distribution to all your team players.
